The agreement between you and us when you book a journey. Written to be read.

Every quote is prepared individually and is itemised in writing. It is valid for fourteen days unless we say otherwise, because supplier rates and exchange rates move. What is included and excluded is listed on the quote itself — if something is not listed, assume it is not included and ask us.
A booking is confirmed when we receive your deposit and you have confirmed the itinerary in writing. The deposit is usually 25% of the trip cost, but peak-season camps, charter flights and some lodges require more; we will tell you before you pay. The balance is due six weeks before departure. For bookings made inside six weeks, the full amount is due at confirmation.
Prices are quoted in Indian rupees unless agreed otherwise. We will not increase a confirmed price except where a government changes taxes, entry fees or fuel levies after you have booked, in which case we pass on the actual increase and nothing more.
Cancellation charges follow the suppliers we have contracted for you and are set out in writing with your quote before you pay anything. As a general guide: more than 60 days before departure, the deposit is retained; 60 to 30 days, 50% of the trip cost; inside 30 days, 100%. Some properties and internal flights are non-refundable from the moment they are booked, and we will always flag which parts of your trip those are.
We will not cancel your trip except for reasons outside our control, or if you have not paid. If we make a significant change before departure — a different hotel of lower standard, a materially different route — you may accept it, take an alternative we offer, or cancel for a full refund. If we have to change something while you are travelling, we will arrange the nearest equivalent at our cost.
Travel insurance is a condition of booking. You choose your own policy; we do not sell insurance and take no commission on it. For Ladakh, Spiti and any trekking, check the policy covers altitudes above 4,000 metres and mountain evacuation.
Valid travel documents are your responsibility. We will tell you what is needed and prepare and check the paperwork for visas and for Inner Line and Protected Area Permits, but we cannot be responsible for a government’s decision or for a document that turns out to be invalid.
Some journeys involve altitude, long drives on rough roads, or walking on uneven ground. Tell us honestly about mobility, heart or lung conditions and we will design around them or say plainly that a route is unwise. Vaccination advice is a matter for a travel clinic, not for us.
We accept responsibility for arranging your trip with reasonable skill and care. We are not liable for events outside our reasonable control — weather, road and pass closures, strikes, civil unrest, epidemics, or the acts of an independent supplier — nor for loss caused by your own act or omission. Nothing here limits liability for death or personal injury caused by our negligence.
Tell your travel expert while you are still travelling, on the number in your field book. Almost everything can be fixed on the spot. If something is still unresolved when you get home, write to vraimentholidays@gmail.com within 28 days and we will respond within fourteen days.
These conditions are governed by Indian law and the courts of Bhubaneswar, Odisha have jurisdiction.
